Job description:

As a not-for-profit school, WIC relies on the generosity of its stakeholders to help the school continually improve its facilities and the student’s educational experience. The Advancement Office serves to foster a culture of engagement from the WIC Community leading to financial support through an annual giving campaign, endowment funds and other fundraising initiatives that support capital projects, scholarships and bursaries.

Reporting to the Executive Director of Advancement, the Advancement Officer will be responsible for providing operational coordination and support to WIC’s advancement activities. The Advancement Officer will work in a dynamic team environment with a particular focus on the annual fund, special events, donor engagement and database management. 

General Responsibilities:    

Donor engagement and stewardship:

  • Implement WIC’s multi-channel annual fund strategy, including direct mail, email campaigns and phone solicitations; with the goal of engaging the community and growing a loyal annual donor base
  • Develop and execute a donor recognition and stewardship program
  • Support the Executive Director, Advancement in the preparation of donor profiles and strategy notes for solicitations
  • Prepare and distribute individual donor communication pieces, including pledge requests, reminders and acknowledgement letters

Database management:

  • Update and maintain the Foundation’s core database management system (Raiser’s Edge NXT), ensuring data accuracy and integrity
  • Generate financial, analytical and demographic reports, as well as mailing lists and other data extractions as needed
  • Conduct research and ratings for individual, corporate and foundation prospects
  • Act as the liaison between the Advancement office and the Accounting office to ensure the accurate and timely recording of gifts and preparation of donation receipts 

Event coordination and volunteer management:

  • Assist in the planning and coordination of all advancement events (liaising with vendors and volunteers, managing registration, and producing related reports)
  • Work in collaboration with the Executive Director to create event committees and engage volunteers, including event chairs and board members

Qualifications:

  • A Bachelor’s degree or equivalent
  • 2-3 years of related experience. Experience in a fundraising environment is an asset
  • Excellent French & English communication skills, both oral and written.
  • A high degree of computer literacy, as well as an ability to quickly learn and adapt to new software
  • Working knowledge of Raiser’s Edge NXT and iWave is an asset
  • Strong commitment to confidentiality and discretion
  • Highly organized and detail oriented
  • Ability to multitask, prioritize and work gracefully under pressure
  • Excellent interpersonal and collaboration skills
  • Self-motivated, energetic, flexible, meticulous and creative
